Google Calendar

  • Access the google calendar from our intern gmail account.

  • Please review the scheduled time for our virtual Group Supervision & Burnout Prevention offered Mondays from 2:00-3:00pm CST on Zoom.

  • We also host a weekly Virtual Team Meeting on Wednesdays from 2:00pm-3:00pm CST.

  • If you do not see either of these meetings on the calendar, please add them.

 
 

MEETING MINUTES

As a team, we meet on Wednesdays from 2-3pm central time via zoom. Together we connect, consult, and provide support for each other. During your first week as a volunteer/intern, attend our team meeting on Wednesday to observe, introduce yourself, and get a feel for how our team meetings work. Following your first week, each Wednesday you will be attending our team meeting and taking meeting minutes. Meeting minutes are important for documenting what occurs during team meetings. The following section provides information on how to take meeting minutes. Please note, we do not typically record our team meetings. If a portion of the meeting is recorded, it will be announced in the meeting at that time.

How to take meeting Minutes at our Team Meetings

1. Prepare for the meeting:
a. Before the meeting make sure you are able to access the "Team Meeting Minutes NW" google doc.
i. Go to the Intern Google account
ii. Open Google Drive
iii. Team Meeting Minutes NW doc will be listed. (It should be this document.)
b. Once in this document, check to make sure the template for meeting minutes (all bullet points listed in the top header) had previously been copied and pasted below the dotted line. It should have the date for this weeks meeting at the top. If this had not been update do this now by copying the template from the top header of the document (all bullets listed in purple and the horizontal line after the bullet points) and paste it under the dotted lines. (Note: please do this step at the end of each meeting so information can be filled in throughout the week)
c. Fill in any information you can before the meeting starts such as the date, any announcements, any specific questions you have for the team and the agenda. (Note: this information is usually updated throughout the week)


2. During the meeting:
a. Write down the names of all attendees and scribe (your name).
b. Summarize topics discussed during the meeting following the template provided.
i. Make note of any announcements and by whom.
ii. Make note of any questions that were asked during the meeting and the answers.
iii. Make note of any important dates such as the start of any new groups.
c. Bold important decisions that were made and by whom.
d. Bold important follow-up steps that are to be completed after the meeting is finished. Include who, what and by when. Example: Kate will send an email with information about eating disorders and diabetes by 1/22. (This will be added to the follow-up section)

3. After the meeting:
a. Add any information you may have missed.
b. Proofread meeting minutes for spelling and grammar errors.
c. Check organization of document and reorganize if needed.
d. Check the formatting of the document.
e. Copy and past the template for next week’s meeting. Copy the template from the top header of the document (all bullets listed in purple and the horizontal line after the bullet points) and paste it under the dotted line. Add the date for next week’s meeting. (This is so everyone can add to the agenda throughout the week before the next meeting).

Tips:

  • Do not write down the meeting word for word. Instead summarize main ideas and topics, taking note of important details.

  • Be careful of bias. This is an official document on what happened during the meeting, not your opinion of what happened.

  • Be clear and concise.
